Microsoft for Nonprofits

Microsoft gives eligible nonprofits free Microsoft 365 Business Basic (up to 300 users), deep discounts on other Microsoft 365 plans and Copilot, and a US$2,000 yearly Azure credit. In 2025 Microsoft ended its free grants of Microsoft 365 Business Premium and Office 365 E1.

What you get

  • Microsoft 365 Business Basic grant (free): web and mobile versions of Word, Excel, PowerPoint and Outlook, Teams, SharePoint, OneDrive (1 TB each), Copilot Chat; free for up to 300 users
  • Microsoft 365 Business Premium at a discount (Microsoft lists US$5.50 per user per month, billed yearly), which adds desktop Office apps and security and device management
  • Microsoft 365 E3 (US$9.75), E5 (US$24) and F3 frontline (US$2.50) per user per month, billed yearly
  • Microsoft 365 Copilot add-on at a discounted US$25.50 per user per month (Copilot Chat is included in Microsoft 365 at no extra cost)
  • Security add-ons (Defender, Purview, Entra, Intune) at roughly US$4 to US$6 per user per month
  • Power BI Desktop free; Power BI Pro US$4.20 per user per month
  • Annual Azure grant of US$2,000 in credits (see the Azure credits entry)
  • Dynamics 365 and Power Platform discounts, and Windows 11 Pro licences (grants of up to 50 through TechSoup)

Who's eligible

Microsoft says nonprofit grants and discounts are available in over 200 countries, in line with where Microsoft products are sold; some offers (for example Surface) are limited to certain countries. Prices above are US dollar list prices; local prices and partner (CSP) prices differ.

  • Be a nonprofit or non-governmental organisation with recognised legal status in your country (equivalent to US 501(c)(3)), a public library or a public museum
  • In the US only, certain healthcare organisations also qualify: independent critical access and rural emergency hospitals, FQHCs, certain rural health clinics, skilled nursing and long-term care facilities
  • Pass Microsoft's eligibility validation (done by Goodstack since August 2025) and agree to its anti-discrimination attestation
  • Grants may only be used for paid employees and unpaid executive staff; discounted licences can also be used for volunteers
  • Keep at least 85 per cent of granted licences actively used, and complete the periodic attestation

Usually not eligible

  • Government bodies and UN entities
  • Schools, colleges and universities (use Microsoft education licensing)
  • Healthcare organisations other than the listed US types
  • Public utilities, financial institutions and pension funds
  • Professional, trade and commerce associations; professional and semi-professional sports bodies; political, labour and fraternal organisations
  • Refurbishers and individuals
  • Program participants, members and donors cannot be given nonprofit licences

How to apply

  1. 1Check the eligibility guidelines at microsoft.com/nonprofits/eligibility and make sure your charity register details are correct.
  2. 2Go to nonprofit.microsoft.com and choose Get started. Select your country and register using a work email (the first person to register becomes the Global Administrator).
  3. 3Enter your organisation details and accept Microsoft's terms and anti-discrimination attestation.
  4. 4Wait for validation (Microsoft says up to 3 business days, or up to 7 business days depending on country and documents requested). You will get an email.
  5. 5Sign in to the Nonprofit Hub at nonprofit.microsoft.com and open Offers (or Nonprofit Grants). Claim Microsoft 365 Business Basic and activate the Azure grant if you want it.
  6. 6For discounted or donated products requested through a partner, order through TechSoup or its national partner (TechSoup UK, ENCLUDE in Ireland, Connecting Up in Australia, TechSoup Canada, TechSoup NZ) or a Microsoft partner, which needs both the validated Microsoft account and a qualified partner account.
  7. 7Assign licences, set up multi-factor authentication and remove unused licences to stay above the 85 per cent usage rule.

Typical approval time: Up to 3 business days per Microsoft's eligibility page; Microsoft's FAQ says it can take up to 7 business days depending on country and documents.

Have these ready

  • Your legal name, address, website, phone and registration or charity number (for example charity number and regulator in the UK, EIN in the US, ABN/ACNC in Australia)
  • A work email address and an organisation domain or a new onmicrosoft.com tenant
  • Documents only if Goodstack asks for more evidence

Tips

  • What changed in 2025: from 1 July 2025 Microsoft stopped donating Microsoft 365 Business Premium (10 free licences) and Office 365 E1. Existing licences end at your first renewal on or after 1 July 2025. Business Basic (free) and discounts remain. 'No other offers are affected' (TechSoup).
  • Business Basic does not include the desktop Office apps. If you need installed Word and Excel, you need a paid plan such as Business Premium or the one-off Office 2024 purchase.
  • One validated grant tenant per organisation: put everything under one tenant and ask your IT provider to avoid creating duplicates.
  • Keep 85 per cent or more of granted licences active. Remove accounts for people who left.
  • Annual re-verification applies; if it lapses you can be moved to commercial pricing.
  • Prices on Microsoft's offers page are in US dollars and may change; check the Nonprofit Hub for your local price.
  • Microsoft Copilot is a paid add-on (about US$25.50 per user per month for nonprofits), not a grant.
